Terms & Conditions

Thank you for selecting Heads Up Therapies for your Occupational Therapy; please find the terms of our business below, if you have any queries, please do not hesitate to contact us.

  • Occupational Therapy
  • Initial Assessment
    • A thorough assessment will be completed in the initial session, this will usually last 2-4 hours, depending on the complexity, this could be carried out over a number of sessions depending on the client’s tolerance. A quotation can be provided upon request.
    • Prior to assessment the Occupational Therapist will be provided with any available documentation regarding the client’s condition and circumstances.
    • The agreement is between the client and Heads Up Therapies; this document must be signed by the client or a representative before the initial assessment.
    • A report will be produced following the initial assessment, this will be charged per hour, the length of the report may vary depending on the depth of information gained from the assessment.
    • Costs will be produced following the initial assessment which will detail the recommended length and frequency of treatment.
    • In the event a ‘meet and greet’ is required, if after the meeting the decision is to proceed with our instruction then the meeting will be billed for. If the decision is to not proceed with working with us then the meeting will not be billed for.
  • Treatment
    • Treatment will be conducted in the client’s own home or another pre-arranged location in the community.
    • The length of treatment sessions are approximately 2 hours; however, this can vary depending on the nature of the session.
  • Costs
  • Invoicing
    • Prior to the initial assessment the funding agent should be identified.
    • Invoicing is on a monthly basis and the payment terms are 14 days. Payment can be made via BACS or cheque; please enquire for details.
    • Treatment may cease if payment is not received within the terms.
    • A 5% interest charge may be applied if payment is not received within the 14 days, unless agreed beforehand.
    • Treatment may be available on a deferred payment basis as long as this is agreed before the initial assessment, please contact us to discuss this further.
  • Cancellation
  • 24 hours notice should be given for cancellation of any appointment other than in exceptional circumstances, if there is a failure to provide adequate notice then the client will be liable to pay the full amount for a 2 hour session.
  • If the client is more than 15 minutes late, they may be charged for this time.
  • The therapist has the right to cancel a session if the client is more than 15 minutes late and will be charged for the full session.
  • The therapist should be informed at the earliest convenience if the client is going to be late.
  • If there is a decision to cancel the therapeutic input provided by a particular therapist, then Heads Up Therapies will endeavour to provide a suitable replacement.
  • If there is a decision to cancel the therapeutic input provided by Heads Up Therapies, then 4 weeks notice must be given to cancel the agreement. This notice must be given in writing.
  • Confidentiality
  • Client’s personal information will remain confidential at all times and will not be disclosed to a third party, other than detailed below.
  • Information will be shared within the client’s multidisciplinary team.
  • Heads Up Therapies may be required to contact the clients GP or consultant.
  • Confidentiality may be breached if there is a belief that the client poses a risk to themselves or others.
  • Rehabilitation Coach
  • Sessions
  • Rehabilitation Coaches will be working in line with the treating occupational therapist and other MDT members’ goals and treatments.
  • Sessions will be conducted in the client’s own home or another pre-arranged location in the community.
  • The aims of the session will be agreed with the client, case manager and treating therapists.
  • The coaches will be encouraged to work within an MDT agreed rehab plan and guidelines.
  • Session notes will be collated and shared with the MDT in an efficient, agreed upon manner.
  • Invoicing
  • Invoicing is on a monthly basis and the payment terms are 14 days. Payment can be made via BACS or cheque; please enquire for details.
  • Treatment may cease if payment is not received within the terms.
  • A 5% interest charge may be applied if payment is not received within the 14 days, unless agreed beforehand.

  • If the Rehab Coach arrives for a session and their appears to be no engagement from the client (not answering the door/phone, not attending the session) then the Rehab Coach will be encourage to wait in a convenient location for 30 minutes, if there is no contact within this time, the Rehab Coach will be entitled to leave and the entire planned session will be charged.
  • The Rehab Coach should be informed at the earliest convenience if the client is going to be late.
  • If there is a decision to cancel the therapeutic input provided by a particular Rehab Coach at the request of the client/funder, then Heads Up Therapies will endeavour to provide a suitable replacement. If the replacement is not agreeable by the client/funder then this agreement may be cancelled as per point 4.5.
  • If there is a decision to cancel the Rehab Coach involvement provided by Heads Up Therapies by the client/funder, then 1 weeks’ notice must be given to cancel the agreement, this notice must be given in writing. If less than 1 weeks’ notice provided then the remaining planned sessions will be charged for.
  • If the Rehab Coach decides they are unable to fulfil the role, then Heads Up Therapies will endeavour to provide a suitable replacement.
  • Training
  • Heads Up Therapies will be responsible for ensuring mandatory training is up to date for all Rehab Coaches.
  • Rehab Coaches will be encouraged to attend any bespoke training events recommended by the MDT, however this time will be charged as per section 2.
  • Rehab Coaches will receive monthly supervisions provided by the treating Occupational Therapist. The Rehab Coach receiving the supervision will not charge the client.
